Manage and delete your data

This page says how you remove Toolscaled’s access to your accounts, how you delete a workspace or your personal data, and when Toolscaled deletes each kind of data by itself. The Privacy Policy is the full text.

A workspace administrator disconnects a Google or Outlook account on the Connections page.

  1. Open Connections in the left bar and open the account.
  2. Select More > Disconnect account…, and confirm with Disconnect account.

For a Google account, Toolscaled revokes its access at Google and deletes the access it stored. The tools and automations that use the account stop at once. The data that came through the account is then deleted by the periods under How long Toolscaled keeps data.

You can also remove Toolscaled’s access in your Google Account settings. Disconnect an account or a tool says how to remove a credential, an MCP server or an API.

A workspace administrator deletes a workspace, with all of its data, in its settings.

  1. Open Settings in the left bar, then the section Delete workspace.
  2. Press Delete workspace, type the name of the workspace, and press Send the confirm email.
  3. Open the email and confirm with its link. The link works for 24 hours.

When you confirm, the workspace closes: nobody can open it, and its automations and runs stop. For 7 days, an administrator can cancel the deletion, from the email or from the page of the closed workspace. After the 7 days, Toolscaled revokes the workspace’s access to the connected accounts and deletes all data of the workspace. The data cannot be restored after that.

A workspace with a paid plan cannot be deleted. Cancel the plan on Plan and usage first.

To delete your account and your personal data, email support@toolscaled.com from the address on your account. Use the same address to ask for a copy of your data or for a correction. We answer within 30 days.

When you are the last member of a workspace, the deletion of your account deletes that workspace and its data at once.

Toolscaled deletes these by itself:

  • What a tool reads in a chat or a workflow run (for example a message, the rows of a sheet, or a file): 30 days after the last use of the chat or the run. Settings > Data retention shows the period of your workspace.
  • The mail that an automation reads: after the time that the automation keeps it, 7 or 30 days. The record that the mail arrived and what the automation did with it, without the mail’s content: after 60 days.
  • The record of a run, without its content: 60 days after the run finished.
  • The notices that a run sends you: 30 days after Toolscaled makes them.
  • A draft of a workflow that you do not save: with its chat, 30 days after the chat’s last use.
  • Copies in backups: within 35 days.

These stay until you remove them:

  • A saved workflow, with its steps, settings and the example calls you made while you built it. To stop a workflow, retire it. To delete a workflow, retire it first. Then open the tab Settings of the workflow, press Delete workflow… and Send the confirm email. Open the link in the email within 24 hours and press Delete workflow. Toolscaled deletes the workflow at once: its saved versions, its drafts, every run with its steps and values, and its automation runs. The deletion cannot be undone. When an automation uses the workflow, remove the workflow from the automation first. Delete a retired workflow says more.
  • An automation, with its versions and its settings. To delete an automation, archive it first. Then, in the section Delete this automation of its tab Settings, press Delete automation… and Send the confirm email, open the link in the email within 24 hours and press Delete automation. Toolscaled deletes the automation at once, with its record of the events it received and its automation runs. Its workflow and that workflow’s runs stay. Delete an archived automation says more.
  • The memory that your workflows and chats keep between runs, until you delete it on the Memory page or its expiry passes. The memory of a workflow is deleted with the workflow.
  • The access to a connected account, until you disconnect it.
  • Your account and your workspaces, until you delete them.

Toolscaled keeps billing records as long as tax law requires.
